Service Project Coordinator Position

The primary purpose of the Service Project Coordinator position is to organize, coordinate, and facilitate successful service projects between customers and field technicians. This role serves as a key point of contact throughout the service process, ensuring work is scheduled efficiently, parts and materials are available, technicians have clear assignments, and customers receive timely, professional communication.

The Service Project Coordinator is responsible for coordinating service schedules, ordering and receiving necessary parts, and dispatching work to technicians. They monitor project progress, review completed technician work for accuracy and completeness, resolve scheduling or service issues, and prepare service invoices in a timely manner.

Success in this role requires strong customer-service skills, excellent organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Service Project Coordinator works closely with customers, technicians, vendors, and internal team members to provide a smooth service experience while continuously identifying opportunities to improve responsiveness, communication, and overall customer experience.


This position has a salary range of $25 - $30+ per hour depending on experience 

 

Job Responsibilities 

  • Serve as the primary point of contact for customers throughout the service-project process.
  • Receive, review, and coordinate incoming service requests.
  • Schedule service work with customers based on project requirements, technician availability, and customer priorities.
  • Dispatch service technicians and provide complete work-order details, site information, and required materials.
  • Coordinate technician schedules to support timely, efficient completion of service projects.
  • Order, track, receive, and organize parts, equipment, and materials needed for scheduled work.
  • Communicate with vendors and suppliers regarding pricing, availability, delivery status, and order discrepancies.
  • Confirm that required parts and materials are available before scheduling or dispatching work whenever possible.
  • Monitor open service projects, work orders, schedules, and customer commitments to ensure progress remains on track.
  • Maintain accurate records of customer communications, estimates, work orders, parts orders, schedules, and project status.
  • Review technicians’ completed work orders, service reports, labor entries, and material usage for accuracy and completeness.
  • Follow up with technicians to resolve missing information, incomplete documentation, or customer-related issues.
  • Coordinate changes to project scope, scheduling, materials, or customer requirements as needed.
  • Communicate project updates, scheduling changes, delays, and completion status promptly and professionally to customers.
  • Address customer questions, concerns, and service issues with urgency and professionalism.
  • Prepare and draft service invoices using accurate labor, materials, travel, and other applicable charges.
  • Verify that completed work and supporting documentation are sufficient for timely and accurate billing.
  • Work closely with service leadership, technicians, accounting, sales, and other internal teams to support project success.
  • Identify opportunities to improve scheduling, communication, documentation, workflow efficiency, and the overall customer experience.
  • Maintain a high standard of customer service while managing multiple projects and priorities in a fast-paced environment.

  

Job Qualifications 

  • High school diploma or GED required; associate degree, technical training, or equivalent work experience preferred.
  • Five or more years of experience in customer service, service coordination, dispatching, project coordination, office administration, or a related role.
  • Strong customer-service skills with the ability to communicate professionally and effectively with customers, technicians, vendors, and internal team members.
  • Proven ability to manage multiple service requests, schedules, priorities, and deadlines in a fast-paced environment.
  • Maintains a positive, professional, and customer-focused attitude when working with customers, technicians, vendors, and internal team members.
  • Demonstrates a collaborative, solution-oriented approach when addressing scheduling changes, service issues, and customer concerns.
  • Strong organizational skills, attention to detail, and follow-through.
  • Experience scheduling and dispatching field technicians or coordinating service appointments.
  • Proficiency with Microsoft Office applications, especially Outlook, Excel, and Word.
  • Ability to learn and effectively use service-management, dispatching, ERP, CRM, and invoicing software.
  • Ability to review technician work orders, labor entries, material usage, and service reports for completeness and accuracy.
  • Strong problem-solving skills and the ability to resolve scheduling conflicts, customer concerns, and service-related issues promptly.
  • Ability to work independently while collaborating effectively with a service team.
  • Reliable attendance and the ability to maintain confidentiality regarding customer, employee, and company information.
  • Strong computer and phone skills. 
  • Ability to communicate effectively; both verbally and in writing.  
  • Valid driver’s license; in accordance with company policy required.  
  • Able to pass a post-offer drug test and background check.
