Billing Specialist
American Fire Protection Group (AFPG) is growing! Because of that growth, we are seeking qualified applicants for an open full-time Billing Specialist position in our San Antonio, TX office. The Billing Specialist works as part of our Service Department and has a direct impact on the success of our office.

What can you expect to accomplish in your first year on the job?
- Development of caring and enduring relationships with your AFPG TEAM Members.
- Learning to successfully navigate the day-to-day challenges of the role.
- Gaining knowledge of the life safety industry and furthering your understanding of the software we use at AFPG. IE: Astea, Microsoft Dynamics AX, and Formlink systems.
- Creating an Individual Development Plan (IDP) with your supervisor and taking steps toward accomplishing its objectives.
- Becoming fully integrated into our Billing TEAM and contributing to its success.
Job Responsibilities:
- Reviewing pending invoices for accuracy and grammar, creating invoices, credit memos, updating customer files, and sending out payment reminders to customers.
- Post service and inspection invoices within our ERP system and save the final PDF invoices into a shared drive.
- Upload invoices and supporting documentation into 3rd party portals.
- Submit invoices to customers based on preferred method of distribution (mail, email, etc).
- Conduct follow-up customer phone calls within 6 days of invoices being distributed to ensure the invoice has been received, it is accurate, and will be processed for payment.
- Document follow-up calls in the AFPG AR Report.
- Follow-up collection calls as needed with customers.
- Participation in our scheduled collections meeting.
- Meticulous updating of existing customer data to maintain accurate billing.
- Improvements in the efficiency and profitability of our Inspection and Service Departments through higher quality invoices and improved turnaround.
- Willingness to assist with accounting and operations special projects as requested.
Job Qualifications:
- Ability to work independently at an advanced level in the Microsoft Office Suite.
- Strong oral and written communications skills; ability to effectively and professionally communicate with all levels of leadership, employees and customers.
- Comfortable prioritizing and managing multiple tasks concurrently.
- Being a dependable team player with a coachable attitude.
- Well-developed critical thinking and problem-solving skills.
- Must be able to pass a pre-employment drug test, background, and reference check.
