Position Overview:
We are seeking an energetic and personable office and facilities coordinator to be in-office every day, serving as the face and voice of APi Group for team members, guests, and vendors. The ideal candidate is welcoming, highly organized, and detail-oriented, with exceptional communication skills and a commitment to providing excellent customer service.
Key Responsibilities:
• Manage front desk operations, including mail and package handling, and distribution
of deliveries
• Serve as the first point of contact for the office, answering and routing incoming
phone calls
• Greet all team members, visitors, and guests in a friendly, professional manner
• Provide general office support and information to staff and visitors
• Maintain office security by monitoring visitor access and issuing security badges/1] fobs
• Support building safety by monitoring front lobby and responding to inquiries
regarding company policies and procedures
• Maintain the appearance of the reception area and common spaces
• Manage and update front lobby display monitor content in partnership with Creative
team
• Assist with coordinating visitor logistics, such as meeting room preparations, catering
orders, and transportation arrangements
• Order and stock office supplies, and assist with office moves or changes as needed
• Handle confidential information with discretion
• Process incoming vendor invoices and escalate facilities service requests as needed
• Help coordinate scheduling and communications related to building operations and
maintenance
• Perform light administrative tasks such as document notarization, policy posting, and
other duties as assigned
Qualifications:
• High school diploma required; college degree preferred
• 2-3 years of direct experience in reception, office administration, or customer service
• Proficiency in Microsoft Office Suite; adept at learning new systems
• Excellent written and verbal communication skills
• Outstanding interpersonal skills and positive, welcoming attitude
• Strong organizational skills, attention to detail, and ability to multitask
• Reliable, punctual, and able to work onsite every business day
• Ability to handle confidential information appropriately
• Able to lift and move office supplies and equipment (up to 50 pounds
Benefits and Compensation:
This role will be based out of our New Brighton office. The pay range is $17.00 - $26.00 per hour, depending on job-related knowledge, skills, and experience. This position is eligible for annual bonus and profit sharing based on company performance in addition to other benefits that support the total well-being of you and your family.
