3S Incorporated is looking for a Department Administrator to join our team. The Department Administrator will be responsible for supporting the daily operations of the Inspection & Service (I&S) Department by providing comprehensive administrative coordination across all branches. This position will also work closely with the Accounting team to support billing accuracy and assist with account receivable efforts.
This role is critical to maintaining operational efficiency, supporting revenue flow, and ensuring a high level of service delivery to both internal teams and external customers.
Job Responsibilities
- Provide administrative support to all branches within the Inspection & Service (I&S) Department
- Complete job setups, dispatch work orders, and generate invoicing requests in the field service management system
- Manage renewals of inspections and service agreements for existing clients
- Process and maintain data and documentation for company reporting, internal systems, and record retention
- Close inspection and service work orders and ensure billing requests are processed accurately and promptly
- Monitor and track purchase orders for inspections and service to proactively identify when funding thresholds are nearing limits, initiating timely requests for PO increases to prevent service and/or invoicing disruptions.
- Assist the accounting team with account receivables efforts for the Inspection and Service Department
Job Qualifications
- 3+ years’ experience in accounting, project management, or equivalent related experience
- Excellent written and verbal communication skills
- Highly organized with the ability to manage multiple priorities under pressure
- Proficiency with a Field Service Management or work order system
- Proficiency in Microsoft Office
- Valid driver’s license
