Role Summary:

Our Chubb Windsor Branch is looking for a Branch Administrator to join the team for the Southwest Ontario region. The main job duties and responsibilities of this role will be to support all aspects of the Order to Cash process in our branch operation, including but not limited to invoicing, order processing, purchasing activities, and customer service responsibilities along with other duties as assigned. This is a branch office-based role working directly out of the branch office 5 days a week. This is a new vacancy.

 

Job Responsibilities:

  • Provide general administrative support as needed for all divisions within the branch
  • Responsible for providing support for jobs, work orders and change orders for all processes from sale to collections, which may include job set up, PO creation, site and company coordination, scheduling, dispatching technicians, administration, processing, closing and invoicing as determined by the division manager within established timelines.
  • Respond to customer calls and correspondence in a timely and professional manner.
  • Reviewing and ensuring all customer information and invoice details are accurate and complete.
  • Work with the Accounts Receivable team to resolve any customer invoice concerns.
  • Process payments through POS systems when necessary.
  • Ensure accurate document flow and filing within company systems.
  • Assist Office Manager, Division Managers and Branch Manager in reviewing, updating and managing WIP and open job reports.
  • Other duties as assigned by the Division Manager
  • Overtime may be required


Required Qualifications:

  • 2+ years of experience in a fast-paced administrative or sales support environment is oreffered
  • Excellent written and verbal communication skills, with the ability to convey information clearly and effectively
  • Strong customer service and interpersonal skills, with a proven ability to build and maintain relationships
  • Highly organized with the ability to manage multiple priorities and work under pressure while maintaining a calm, professional demeanor
  • Proficiency in Microsoft Office, including Word, Excel, and Teams, as well as the ability to learn company-specific software
  • Ability to work independently with minimal supervision while contributing to a collaborative team environment
  • Strong analytical and problem-solving skills, with the ability to identify issues and implement effective solutions quickly
  • Flexibility and adaptability in a changing, fast-paced work environment

Preferred Qualifications:

  • Post-secondary education in Office Administration or a related field
  • Experience with ERP systems and familiarity with field and branch operations, including dispatch and collections is preferred
  • Bilingual in French and English is considered an asset

  • Salary Range: $55,000-$63,000
